Certification is the part you can’t skip
For the EU, CE marking under the Machinery Directive (2006/42/EC) is the gate — without it, the machine shouldn’t land. ISO 9001 is different: it’s a sign the factory runs a quality system, not a product approval. Buyers sometimes confuse the two. You want the machine CE-marked; ISO 9001 on the supplier is a nice-to-have that tells you they’re organized.
Documents you’ll need at the port
- Commercial invoice and packing list, matching the shipment exactly
- Bill of lading
- CE certificate (for EU-bound equipment)
- Certificate of origin, often needed for duty rates
- Any local requirement — Saudi Arabia asks for SASO conformity, for example
Mismatches between the invoice and the packing list are the most common reason a container sits at the port racking up demurrage. Get the paperwork to agree before it ships.
The mismatches that cost weeks
- Voltage and plugs. A 380V three-phase machine sent to a 220V single-phase site is a rebuild, not a plug-in. Confirm the destination supply in writing.
- Language. Some markets require manuals and labels in the local language. Missing that can fail inspection.
- Sea damage. Long ocean trips mean moisture. Specify proper wrapping and desiccant, and photograph the container on arrival.
Duty and the real landed cost
The machine price is maybe two-thirds of what you’ll pay. Freight, insurance, duty, port handling, and last-mile trucking add up. Ask your supplier for the shipped terms and build a landed-cost number before you commit, so the budget doesn’t surprise you on arrival.
The pattern is boring but reliable: confirm the standard for your country, make the documents agree, and price the landed cost. Do those three and customs is a formality instead of a crisis.
